What is Material Handling and What Does the Fee Cover?

Material Handling includes the following:

  • Movement of your booth materials from advance warehouse to your booth
  • Movement of your booth materials from the venue loading dock to the booth
  • Storage of empty cases, crates, boxes during the event
  • Movement of your materials from the booth back to the loading dock for collection by your shipping company.
  • Material handling, or Drayage, is exclusively provided by the General Service Contractor GES.

Please note that shipping companies and couriers are not allowed on to the show floor to deliver materials to your booth. They must either ship to the GES advance warehouse or deliver to the loading dock for the attention of GES.

1. Advance Shipments (mandatory for weekend deliveries)

  • Unloading your exhibit materials from your inbound carrier on the warehouse dock
  • Storage of your exhibit materials for up to 30 days prior to your show.
  • Delivery of your exhibit materials to your booth by your target move in date/time.
  • Removal and storage of all empty cases, carton and crates prior to show open.
  • Return of all empty cases, carton and crates after the close of the event.
  • Removal of your exhibit materials from your booth for reloading onto your designated outbound carrier

2. Direct Shipments (Monday Oct 9 only)

  • As above however unloading of your inbound vehicle is performed during the target time and on a first come, first served basis. There can be a wait.
  • Delivery to the booth is not guaranteed by your target time, this is only possible for advance shipments.
  • IMEX recommends that direct shipping is only used for last minute items that are not possible to ship to the advance warehouse.

 

Pricing

Pricing for Material Handling is based on the weight of your shipment, how your exhibit materials are packed and shipped and the day and time your exhibit materials are handled. This fee should not to be confused with the cost to transport your exhibit material to and from the event.
Material Handling is charged in 100 lb increments (CWT). See example below…

  • Total Weight of Shipment = 2,000 lbs
  • Calculation of Weight (CWT): 2000 lbs ÷ 100 = 20 CWT
  • Advance Material Handling Rate = $100.25 (per CWT)
  • Calculation of Total Material Handling Cost: 20 CWT x $100.25 = $2,005.00

Hand Carry materials

An Exhibitor may hand carry material provided they do not use material handling equipment to assist them. This only applies to exhibitors and their full time company staff. All couriers (inc FEDEX, UPS etc) need to proceed to the loading dock to unloading. All shipments received from a courier will be invoiced to the exhibitor at the published exhibitor service rates. Exhibitors choosing to hand carry material may not be permitted access to the loading dock/freight areas.
