Booth Construction

There are a number of regulations within this section, which are essential to an orderly Exhibition. Please be aware of and comply with them. Please do not hesitate to contact the organising team on organising@imexexhibitions.com with any questions you may have.

1. HARDWALL BOOTHS (SHELL SCHEME STANDS)

If you have reserved a Hardwall package from IMEX you must choose your booth options in the Booth Furnishings page. You will also find options for upgraded Hardwall Booths which come at an additional cost, paid directly to GES.

Hardwall Booths will be constructed to the following specification:

1.1. Wall panels
8ft' high wall panels with a selection of colored panels. Panels will be supported by aluminum uprights and finished top and bottom with aluminum cross rails.
At no additional charge, colored panels (maple, red, green, blue and light grey) are also available when ordered by September 8.

Please contact GES for further details (www.ges.com/chat). All interior Exhibit fittings must be contained within the shell scheme stand structure and must not exceed 10ft' in height.
Please do not use stickers or tapes that leave traces on the walls. Any damaged walls will be charged to the exhibitor by GES directly at full replacement value. You will be able to purchase no residue tapes from GES on site.

1.2. Hardwall Booth Header (Shell Scheme Fascia)
The basic header board will consist of white panels. No additional charge will be made for colored header boards when ordered by September 8. Every open side will carry a header panel with your name and Exhibit number in standard lettering. There is also the possibility to have your company logo printed on the header board at an additional charge. Please contact GES for additional services for your header board.
Details of the precise name required should be sent to GES on the order form. If this form is not received, the name will appear as per the Show manager's records.

1.3. Carpet
The booth is fully carpeted in the carpet color of the exhibitor's choice. Color selection must be made by the order deadline of September 8. Please refer to the Booth Furnishings page. GES must have the order form submitted by this date otherwise the supply of colored carpet cannot be guaranteed.

1.4. Lighting
Fittings suitable for fixing to the aluminum framework of the walls, or to the structured ceiling, may be obtained from the official general service contractor (GES). No lighting is supplied by IMEX as part of the Shell Scheme Stand. If you order Lighting please do not forget to order Electricity or order the lighting package including electricity from GES. This can be done via the Lighting Packages section of Expresso.

1.5. Electrical Installations
Neither electrical fittings nor the supply of electricity on hardwall booths is included as standard. Please complete the Sands order form located in the Utilities page to order your electrical service and fittings to your exhibit. All electrical installations must be carried out by the official contractor, SES.

1.6. Platform
A platform is not considered necessary with this type of Hardwall Booth and is therefore not provided as standard.

1.7. Additional Fittings
Any additional elements not part of the hardwall booth package (including suspensions) will be subject to the space only regulations described in section 2 below. A comprehensive range of standard items, including wall panels to form office enclosures, shelving, display and ceiling panels, may be ordered from GES.

1.8. Corner booths
Hardwall exhibitors in corner locations will in all cases have two sides open. Therefore the booth package will be slightly different. Please consult GES for details and to place your order.

2. SPACE ONLY STANDS / EXHIBIT BUILDERS

Exhibitors are responsible for their own booth design and construction. No booth fitting, walling or floor covering is provided by Show Management on space only booths.

Inline exhibits that fall under the Space Only Exhibits category should be careful to make certain they have 8ft’ high sidewalls in addition to the 8ft’ high backwall. Exhibits at IMEX America will follow the European format of extending full height side walls out to the aisle. This will be mandatory for all exhibits including “pop-up” and “table top” style exhibits.

2.1 Exhibit Builder Details and Exhibit Design Approval

2.1.1. Exhibit Builder Details
Exhibit Coordinators are responsible for registering their Exhibitor Appointed Contractor (EAC) via the IMEX Booth coordinator portal. Please register your EAC company no later than August 4.

All booth structures must conform to local fire code regulations. Please see Sands Fire and Safety Regulations within the Regulations and Guidelines section of this manual or call Clark County Fire Department at +1 (702) 455-7316.

2.1.2. Exhibit Design
Exhibit Coordinators are responsible for their own booth design and construction. A drawing or plan of the proposed booth installation, showing the ground plan with highlighted ceiling areas and elevations, and a service location plan  must be submitted to the Show Manager for examination and approval by August 22. Please upload your exhibit design and service location plan with the completed Design Submission Form and certificate of insurance to our Booth Design Submission Page. Your exhibit design will not be approved until we have received all 3 of these documents

APPROVAL CANNOT BE GIVEN TO PLANS VIA FACSIMILE. The Organizers reserve the right to prevent work being carried out by, or on behalf of, any Exhibitor who has not submitted booth design drawings in accordance with these regulations.

All interior exhibit properties must be contained within the booth area and should not extend into the aisle area. All exhibit plans will be subject to approval of both the Organizers and the facility and must fully comply with the Sands rules & regulations. The Show Managers reserve the right to prevent work being carried out by or on behalf of any exhibitor or Exhibitor Appointed Contractor who has not submitted exhibit design drawings and proper certificate of insurance in accordance with this regulation.

2.2. Exhibit Height
The maximum height for any element within the booth is 20’ from the floor and this will be STRICTLY enforced. Any booth element in excess of 16’6’’ must be positioned at least 4’ from the perimeter of the booth. Elements along the booth perimeter which are higher than 16ft6in are only permitted as part of a double-storey structure. Hanging banners and other suspensions above the booth must not exceed a maximum height of 20’ and must be placed at least 4’ inside the perimeter of your booth. Elements above 8’ and within 4’ of an adjoining booth are subject to additional regulations described below in section 2.5

2.3. Exhibit (Booth) Number
All exhibits must be clearly marked with their allocated booth number. Booth numbering will be provided for shell scheme stands only. Space only exhibits must ensure their booth number is clearly displayed. Space only exhibits will not automatically receive a booth number by show management. Please include the booth number on your exhibit drawing. Booth signage and numbers can be ordered from GES through their signage order form located in the Booth Furnishings section of Expresso.
*The Organizers reserve the right to affix booth numbers or directional signs on any booth in any position.

2.4. Two-Storey Exhibits and covered booths
Written application for permission to design exhibits of two stories must be submitted to show management not later than August 22. Please include exhibit drawings. The exhibit drawings must show the form and dimension of every structural member with appropriate general arrangement plan, sections and elevations, including full details of stairways and railings. All second stories should be used for entertainment purposes only and not for exhibition display purposes. All drawings must be to scale. All two-storey booths must fully comply with the Fire Marshal regulations as outlined by Clark County Fire Department. Two-Story exhibits may be built to a maximum height of 16' 6" (including any name sign or trade mark). In the interest of the Exhibition as a whole we reserve the right to determine the position of any two-storey structure within a booth.

Two-Story Exhibit Structures

  • (1) Upon request, IMEX America Show Management, GES and / or the Clark County Fire Department can give permission for a Two-story construction. At its discretion, the Clark County Fire Department and Show Management reserve the right to refuse permission for Two-story constructions in the interests of the overall appearance of the exhibition hall or for safety reasons.
Exhibits which have an enclosed room or second story must post notice on the outside of the room, or at the bottom of the stairway of the maximum people occupancy (or total weight load of the second level) permitted in the area at one time. If occupancy of second level is intended to be more than ten (10) people at any one time a second stairway is required.

The basic requirements for staircases are as follows: 32 inch wide/7 inch rise/11 ¾ thread.

  • (2) An appropriate application for planning permission, including the necessary documents (layout, ground-plan and sectional sketches, building specifications and checked static calculations), must be made to show management no later than August 21.

2.5. Divided Sites / Finishing back of booths
On divided sites Exhibitors are responsible for erecting and decorating side and back walls facing on to their exhibit areas to a minimum height of 8’ high. The reverse of walls above this height must be finished in plain and even white. No branding may be displayed on the reverse of adjoining walls. In the event that the exhibitor fails to erect, clad and decorate such walls to the show manager’s satisfaction, Show Management reserves the right to remedy such walls at the expense of the Exhibitor.

2.6. Finishing the top of booths

Single storey booths should be aware that you may be overlooked by neighboring booths. Therefore IMEX recommends that you take care to finish any part of your booth which may be visible from neighboring booths.

2.7. Gaps between booths
Exhibitors must ensure that any concealed space between their booth and a neighbor’s booth is not visible. All gaps between booths must be masked off.

2.8. Sound in Booths
Noise levels of any kind must not inhibit the ability of neighboring exhibitors to do business. Speakers must be turned inward toward your booth. Show Management reserves the right to determine   if noise levels are excessive and may, at their discretion, remove the source of noise.

3. ALL BOOTHS

3.1 Important Information for Exhibit Builders

Please DO NOT

  • Damage any pillars in the Hall – any damage, i.e. painted or chipped pillars, will be charged to you after the show.
  • Damage Shell Scheme Walls with sticker/tape traces. Damaged walls will be charged to by GES at full replacement value per wall after the show.
  • Cover any open facing exhibit sides (sides facing the perimeter) by more than 30%. Aisle access must be 70% clear opening.
  • Exceed the booth height of 20’”.
  • Exceed the height limit of 20 feet for suspensions above your booth
  • Block the aisles with your exhibit building material, crates or deposit your building material on the carpets of the neighboring booths.
  • Use gas stoves as open flames are not allowed in the exhibition hall.

Please note that you MUST

  • Go outdoors to cut any metal or wood.
  • Finish the back of any back facing walls that are overlooking other booths in white and on an even surface.
  • Fix a booth number to your booth design.
  • Keep all main access aisles clear at all times (you will receive a floor plan with the access aisles marked closer to the exhibition).

3.2. Suspensions
All hanging signs must have drawings available for inspection by Show Management and the General Service Contractor. Drawings must include a signature or stamp of a structural engineer indicating the stress points for hanging the sign have been properly engineered. The signature of an authorized official of the exhibit building company is also required, indicating that the structure is built in compliance with the details and the specifications set forth on the drawings. (Note: exhibitors are encouraged to use lightweight materials in the construction of a hanging sign to eliminate excessive stress to the facility ceiling structure). NOTE: Banners that are to be suspended from hall ceiling must not exceed a total height of 20ft.

Signage which weighs 200 lbs or over or signs requiring electrical hook-ups must be installed by the Sands SES. Non electrical signage which weighs less than 200 lbs will be installed by GES. Please contact the appropriate installation company for any special sign or banner installation.

3.3. *UPDATE* Platforms/Raised Floors
Due to recent tripping incidents IMEX will be working closely with Sands Expo to minimise any tripping hazards created by raised floors in booths. We request that booths do not use raised floors if possible. If this is a necessity for your booth then you are required to take all possible steps to minimise the risk of tripping such as exposed corners. In this case please contact the IMEX Organising Team (organising@imexexhibitions.com or +44 1273 224 958) as soon as possible to confirm the actions that will be taken to mitigate any risks. Extra efforts to highlight the change in level need to be made. Ideally, the perimeter edge of the booth should be bevelled. No platform may be more than 3” in height. Show management reserves the right to take additional actions where it is deemed necessary to avoid tripping.

3.4. Removal/Alteration
The Show Management may, at the expense of the Exhibitor, may remove or alter anything in or forming part of any exhibit, if, in their opinion, it is desirable to do so in the interests of the Exhibition.

3.5. Booth Perimeters
Each booth wall facing an aisle must remain at least 70% open. Runs of walls more than 6ft in length are prohibited along open perimeters of booths.

3.6. Presentation/Demonstration
Any presentation/demonstration likely to interest groups of 10 or more people must be located towards the centre of the booth and clearly shown on booth drawings. If any presentation/demonstration causes obstruction within the gangway and/or nuisance to any other Exhibitor, we reserve the right to cancel the presentation/ demonstration or restrict the frequency. Amplification is generally not necessary for presentations. The organizers reserve the right to stop without warning any presentation or performance judged by them to be at excessive sound levels.

3.7. Lighting
Where illuminated header / fascia boards are used on exhibits, the lighting of them must be of sufficient power to light the fascia board only, and must not cause any spill of light onto neighboring booths. No flashing lights will be permitted. We reserve the right to disconnect the electrical supply to any illuminated fascia which, in our opinion, is causing a nuisance to any other Exhibitor.

3.8. Exhibition Premises
Nothing may be attached to the floor or to any other part of the Exhibition premises without the written consent of the Sands. It is essential to use a recognized adhesive tape when fixing any carpet/flooring directly to the hall floors, all carpet tape must be removed at the end of the Exhibition. Any charges incurred by the Show Management as a result of failure to remove carpet/carpet tape will be passed on to the Exhibitor.

3.9. Mobile Units
Mobile Exhibition units, caravans or similar vehicles are not permitted without our prior written consent and must have proper fire marshal approval. Mobile Vehicles must have batteries disconnected, gas tank locked shut, and less than 1 gallon of gas in the tank. Vehicle placement must be ordered prior to move in.

3.10. Booth Cleaning
During move in and move out every exhibitor is responsible for removal of all waste and refuse from their booth area. Display Houses are responsible for leaving individual booths in a clean and tidy condition for exhibitors. It is your responsibility to maintain your exhibit area in a clean condition at all times.

IMEX America has made arrangements for basic booth cleaning to be carried out at no charge to the exhibitor. This does not apply to the second storey booths where a charge will be made. The basic booth cleaning will include vacuuming and emptying of waste bins and will be carried out after the show closes. Additional trash should be placed in sealed garbage containers and should be placed in the aisle after 5:30 PM for overnight collection. Glass is to be placed in separate bags which should be left open for recycling purposes. Please notify the Sands Expo & Convention Center and SES in case of toxic waste. As is usual, the cleaning of exhibits will remain your responsibility as will any special services that may be required such as the removal of bulk trash. Please note: Exhibitors should whenever possible, use recyclable materials for booth structure and decoration.

4. FIRE & SAFETY / EXHIBIT BUILDER

4.1. Enclosed Areas
The inclusion of large enclosed areas within an exhibit can only be permitted with the Show Manager’s prior written permission. Please e-mail your request & plan drawing to: organising@imexexhibitions.com

Please note: Exhibitors must apply to Clark County Fire Department in order to be considered/approved for one of the above cases of exception. Proof of approval and exhibit prints must be submitted to IMEX America Show Management no later than August 22.

4.3. Installation of a Fire Alarm System
If Approval for construction of completely or partially closed ceilings may be given in accordance with the Clark County Fire Department restrictions. Booth with more than 1,000 Sq ft ceiling space will need to install a fire alarm system for details of regulations required please contact Clark County Fire Department and/or GES.

5. HEALTH AND SAFETY REGULATIONS

5.1. Open Ceilings
To ensure that sprinkler protection is not impaired, all booths must always be open at the top.   Any exhibit which has ceiling covering over 1,000 sq ft will require a sprinkler system. Any questions regarding installation of sprinkler systems should be directed to the GES exhibitor service center.

5.1.1. Ceiling Guidelines
Up to 1,000 sq ft of contiguous ceiling area may be covered for one booth without any additional measures being necessary, however this should not exceed 50% of the booth area. In order to ensure that multiple ceiling areas together do not exceed the maximum size of 1,000 sq ft, a distance of at least 5ft’ from the edge of the booth is to be maintained at all times. It is also possible to have multiple ceiling areas of up to 1,000 sq ft within a single exhibition booth, as long as a minimum distance of 10ft’ is maintained between each ceiling area. If multiple ceiling areas are placed next to one another (including across multiple booths), resulting in a total area of larger than 1,000 sq ft, suitable compensatory measures are required.

If covered booths exceed 1,000 square feet, they need interior automatic sprinkler protection if they will be in place for more than seven show days or if they contain vehicles, open flame, or hot works.

The upper level of multi-level exhibit booths exceeding 300 square feet shall have not less than two remote means of egress.

Booth construction is to be made of materials complying with the Clark County Fire Code as follows:
  • Noncombustible materials
  • Wood exceeding ¼ inch nominal thickness
  • Wood that is pressure-treated, fire-retardant wood meeting the requirements of NFPA 703, Standard for Fire-Retardant Coatings for Building Materials
  • Flame-retardant material complying with NFPA 701, Standard Methods of Fire Tests for Flame Propagation of Textiles and Films
  • Textile wall coverings, such as carpeting and similar products used in wall or ceiling finishes complying with Section 803.5.2 of the IFC
  • Plastics limited to a Class A flame spread index
  • Foamed plastics and materials containing foamed plastics complying with Section 807.4.2.1 of the IFC
  • Cardboard, honeycombed paper, and other combustible materials having a heat release rate for any single fuel package that does not exceed 150 kW where tested in accordance with UL 1975, Standard for the fire Tests for Foamed Plastics Used of Decorative Purposes
Fire Suppression Features:
  1. Fire extinguishers originally placed by the building owner as required and approved by the FPB at the time of original certificate of occupancy are acceptable.
  2. Additional fire extinguishers may be required if the travel distance to a fire extinguisher exceeds 75-feet or if there as Special Hazards. Cooking and hot-works like welding are examples of Special Hazards.
  3. Fire extinguishers and fire hose cabinets shall not be obstructed. Keep them clear of displays, booths, drape, signs, decorations and the like.

If the necessary requirements are not met the installation of corresponding compensatory facilities (e.g. fire alarm system, wall hydrant, visual/acoustic alarm, automated smoke extraction system, sprinkler system) is to be performed by the exhibitor. Please contact GES for companies licensed to install sprinkler systems.

5.2. Flammable and Toxic Materials
All materials used in display construction or decorating should be made of fire retardant materials and be certified as flame retardant. Samples should also be available for testing. Materials that cannot be treated to meet the requirements should not be used. A flame-proofing certificate should be available for inspection. Exhibitors should be aware of local regulations regarding fire/safety and environment which must be adhered to.

Exhibitors should dispose of any waste products they generate during the exhibition in accordance with guidelines established by the Environmental Protection Agency and the facility.

5.3. Booth plan approval process

In order to receive building permission, all booth drawings - including the necessary documentation of layout, ground plan, dimensions, building and material specifications statistic calculation and sectional sketches - need to be submitted for approval no later than August 22 to: organising@imexexhibitions.com

Please be certain to submit the ‘Agreement and Rules and Regulations between GES and EAC’ form on the Agreement and Rules and Regulations between GES and EAC page.

Structural plans signed by an authorized structural engineer must be available for review during the entire length of the show, including move-in and move-out days.
