We are delighted to welcome you to the IMEX America online Exhibitor Manual - GES Expresso.
The content of Expresso will guide you in the overall organisation of your exhibit space.
Below we point out some key information that you should be aware of:
Target move in
In order to improve the efficiency of our growing show we have introduced a Targeted move in. Please review the Shipping, Drayage and Material Handling section of GES Expresso. Exhibit coordinators are requested to instruct their Exhibit builders to plan their labor accordingly. All booth materials must be crated and ready for collection by GES by 5pm on Friday 17 October.
Exhibitor Appointed Contractor (EAC)
If you are using an exhibit builder other than the IMEX official general service contractor (GES) to move in and move out your booth please make sure to complete and return the form entitled Register Booth Contractor and include an original certificate of insurance including all additionally insured parties. You must also register the individual labor.
Exhibit Labor Registration
For security purposes it is compulsory that your exhibit builder provides us with the names and company details of all staff involved in the move in/ move out of your exhibit space. All registered staff will receive a daily wrist band which may be collected only by a supervisor from the EAC.
Please ensure that your Exhibit Builder registers their labor online by visiting here. The deadline for these registrations is October 3rd, 2014. All exhibitor appointed contractors (EAC's) will be required to pick up a pre-registered wrist band at the loading dock entrance at back of the hall.
During move in / move out, your staff must carry a photo ID. On demand the wrist band plus the photo ID must be shown as identification to security personnel.
Exhibit construction
You require a written application for permission if your exhibition stand is higher than 10' or has a completely or partially closed ceiling or if you are planning a two-storey stand. Please see technical specifications in the Regulations and Guidelines section of Expresso. Please send your stand drawing by August 22nd 2014 to organising@imexexhibitions.com
Catering
Catering is an exclusive service provided by the Venetian in-house vendor. The exception to this rule is that 'sample sized' food and beverage is permitted. However any food which is distributed in the exhibit space should meet the proper guidelines set forth in the Sands Catering Guidelines. Please see the catering information in the Additional Show Services section of Expresso. For further guidance on Food and Beverage regulations please contact the Organizing team.
Insurance cover
Whilst we take every precaution to protect your property during the event, neither the exhibition organizer, the venue, nor the security contractor can take on responsibility for your property. Standard insurance cover is now included with every booth contract. If you have already arranged for coverage, please fax proof of insurance to IMEX America at +44 (0) 1273 227312
Cleaning
Daily booth cleaning is included as part of your IMEX booth. Please take care to ensure that your EAC is not including this in your proposal.
Sustainable Exhibiting at IMEX America
Our aim is to produce as little waste as possible. Please remember to use environmentally friendly booth fixtures and also please post the remainder of your brochures back to the office rather than throwing them away. For more tips, please review our Sustainable Exhibiting Guide.
Donations
A donation program will be available to collect any reusable exhibitor materials such as floral, vases and office/booth supplies on the final day of IMEX America. These donations will be distributed to a variety of organizations throughout the Las Vegas area. Donation bins will be available around the perimeter of the show floor on the final day of the event for exhibitor use. Please note any materials you will have to donate in the Exhibitor Scorecard prior to the event to ensure collection. For large/unusual donation items, please contact RGreen@SandsExpo.com.
