Targeted Show Move-In

Moving into any exposition can be tricky. There are a lot of moving parts and things to remember. Below is key information you will need to know for moving into Natural Products Expo East 2017. This is only an overview; you will need to refer to the section instructions for details.

Please note that all booths on Level 300 and 400
must ship to the Advance Warehouse.

When Can I Move-In?

When you can move in and set up your booth depends on how you ship your booth materials to the show site. The shipping options are:

Advance Shipping:

  • Ship your booth materials (non-perishable items only) in advance to the GES Advance Warehouse (arrival deadlines apply).  The Warehouse address can be found under the Shipping, Drayage, Material Handling and Access Storage tab under Shipping Addresses. This allows you to confirm your freight has arrived well before move in starts. Address for advance shipping: Click here.
  • This is a targeted move in show; you will find your target move in time under the Move-In/Move-Out Information and Target Floorplan tab by selecting the Assigned Move-In and Target Floorplan button.
  • Your booth materials will be delivered to your booth by GES on your “Freight Carrier Unloading Date & Time” listed on the Target Move-In Floor Plan. You will be able to begin setting up your booth on the “Exhibitor Set-Up Date & Time”.
  • Print Advance Shipping labels under the Generate Address Labels at the bottom of ESK home page. They can also be found under the Shipping, Drayage and Material Handling tab by clicking on Print Shipping Labels. Remove all old labels from your crates and cartons.
  • Material handling charges will apply and can be estimated under the Shipping, Drayage, Material Handling and Access Storage tab under Shipping and Material Handling/Drayage, click on the icons - Click for Rates.

Direct Shipping:

  • Ship your booth materials via a freight carrier directly to show site.  This is a Targeted Move-In show, your scheduled carrier arrival time can be found under the Move-In/Move-Out Information and Target Floorplan tab. Note--Your carrier will have to arrive at the Marshaling Yard at the date and time listed on the target floorplan. Failure to do so could result in refused freight and additional material handling charges.
  • Your carrier will need to check into the marshaling yard at your scheduled inbound target date and time. Once checked-in the driver will be assigned a time and/or dock number and will proceed to the dock at that time to unload the freight. Assignments are on a first come, first serve basis. The freight will be in your booth by the Exhibitor Set-Up Date & Time listed on the Target Move-in Floor Plan, please refer to the Target Move-In Floor Plan for the specific day/time.
  • Print Advance Shipping labels under the Generate Address Labels at the bottom of ESK home page. They can also be found under the Shipping, drayage and Material Handling tab by clicking on Print Shipping Labels. Remove all old labels from your crates and cartons.

Refrigerated and Frozen Storage:

All cold/frozen products must be shipped to the Cold Storage Warehouse on Hollins Ferry Rd. Any cold/frozen product shipped to show site will be refused and rerouted at the Exhibitors Expense. Click here for shipping labels.

  • Instructions regarding the Cold Storage Warehouse Shipping and Delivery as well as shipping labels, labor and delivery order forms can be found under the Refrigerated and Frozen Storage tab.
  • Refrigerated and Frozen Product must arrive between Monday, Sept. 11 through Wednesday Sept. 13. See Shipping Labels for delivery times.
  • Certified weights are required for all shipments.
  • Cold product will be accessible onsite beginning Wednesday evening.

Privately Owned Vehicles (POV):

Cartload Service:

  • Cartload Service information is available for exhibitors in POVs driving their booth materials to the show under the Hand Carry/Cartload and Privately Owned Vehicle Services tab. Be sure to read the instructions under the Marshaling Yard and Hand Carry Instructions tab (restrictions apply). The Cartload Service Order form can be found under the Cartload Services Order Form tab.
  • Privately Owned Vehicles have to report to the POV lot or Marshaling Yard. They will then be sent to the convention center loading dock for unloading. The POV lot/marshaling yard address can be found under the Hand Carry/Cartload and Privately Owned Vehicle Services tab under Marshaling Yard and Hand Carry Instructions.
  • Cargo vans and moving trucks are considered freight and do not qualify as a POV (please refer to Shipping, Drayage, Material Handling and Access Storage).

Hand Carry Items:

You can hand-carry your own materials in the exhibit hall provided you do not use material handling equipment to assist you. Use of hand carts, a two-wheeled dolly, or any four-wheel cart or dolly is prohibited. Hand-carry materials may only be brought in through the front of the exhibit hall. You will not be permitted access to the loading dock or freight areas. You may not leave your car unattended at any time at the curb. 

  • You may unload your vehicle at one of the locations listed below. Hand Carry is not eligible to use the POV lot or dock.
    • Pratt and Howard Street entrance
    • Pratt and Charles Street entrance
    • Sharp Street  entrance
  • You have a maximum of 15 minutes to unload your vehicle in the designated areas.
  • You must move-in during regular installation dates and hours.
  • You will find more detailed instructions regarding Hand Carry Move-In under the Hand Carry/Cartload and Privately Owned Vehicle Services tab.
  • You must abide by the union rules.  Please refer to the Show Site Work Rules under the Regulations and Guidelines tab.
