Personally Owned Vehicle (POV) Instructions

To support your event planning for Orange County Convention Center - Buildings South and West, GES would like to point out the following information related to POVs.

  • All POVs and individuals wishing to gain access to the POV area must check in with the GES freight foreman located at the check in gate shown on the below plan.
    Please ensure you have the following information to check in:
    • The registered booth name / booth number
    • Your Contact Phone number
    • Driver's license / identification will be required.

  • Drayage services provided for Cartload are subject to the material handling rates as outlined on Material Handling/Drayage Services.

  • Loads will be weighed on a scale at the exhibit hall dock. Items are weighed to ensure accurate material handling billing.

  • At close of show exhibitors obtain an Outbound Material Handling Form from the GES Exhibitor Success Central. Exhibitors who will be removing their items via a Cartload services must have this form signed and dated by a GES Service Representative.

  • It is difficult to project the number of exhibitors who will utilize POV material handling services. POVs are served on a first come, first serve basis and need to follow the times outlined on the Show Information Sheet for a smooth process. Exhibitors planning to remove items immediately at show close should anticipate a two-hour window for these services at the facility.

  • Exhibitors may park in the facility parking lots and hand carry items into the exhibit hall (without the use of wheeled carts or dollies). This restriction is for safety purposes and to reduce damage to entrance ways and common areas of the facility.

  • Please do not park POVs in any of the public areas near the building as Orange County Convention Center - Buildings South and West Security may ticket or tow.

  • Trucks and trailers that are 22' or less can utilize the POV area. Some shipments may be eligible for the GES Cartload service with costs billed at published rates.

  • Each POV MUST HAVE TWO LICENSED DRIVERS. One driver must remain with the vehicle at all times in case the vehicle has to be moved. There is very limited space for this service, so a maximum time limit of 30 minutes per vehicle is allowed for the freight and vehicle to be removed from the dock. This will allow efficiencies in other POV's wishing to utilize this self unload service.

  • Vehicles left unattended will be subject to towing.

  • Dates and Times for POV and Cartload services are as follows:
    South Building:
    • 11/12/2026 8:00 a.m. - 5:00 p.m.
    • 11/13/2026 8:00 a.m. - 5:00 p.m.
    • 11/14/2026 8:00 a.m. - 7:00 p.m.
    • 11/15/2026 8:00 a.m. - 7:00 p.m.
    • 11/16/2026 8:00 a.m. - 8:00 p.m.
    West Building:
    • 11/13/2026 10:00 a.m. - 8:00 p.m.
    • 11/14/2026 8:00 a.m. - 8:00 p.m.
    • 11/15/2026 8:00 a.m. - 8:00 p.m.
    • 11/16/2026 8:00 a.m. - 8:00 p.m.

Show Organizer POV Information

IAAPA Expo's established hand carry policy allows exhibitors to:
  • Move materials using a two-wheel dolly operated by one person.
  • Move materials using a four-wheel furniture dolly operated by one person.
  • Move products such as go-karts that are rolled in one at a time and by one person.
  • Move a product that is itself on wheels and rolled in by one person.

IAAPA Expo has also established POV loading and unloading at loading dock ramp space under the following procedures:
  • Loading and unloading of exhibitors' privately-owned vehicles (POVs) or rental trucks (U-Haul, etc.).
  • Privately owned vehicles (POV) approximately 22 feet in length.
  • Vehicles must be unloaded and moved out of the loading dock within 30 minutes.
  • One person must remain with the vehicle at all times and vehicles may not be left unattended.
