What's Included in the Standard Booth

  • Potential List of Mandatory Items:
    All exhibitors must complete the Booth Layout Form by the deadline.
    All exhibitors with indoor space must have carpet or a floor covering.

    Any exhibitor displaying an amusement ride or device (per ASTM 747-06) which allows audience participation, using flammable materials, or serving food items not provided by Sodexo Live!, will need to carry additional insurance coverage at their expense.

    Height restrictions based on booth type. Only exhibitors in Island, Peninsula or Split Island booths that are 400 square feet and larger may have a hanging sign. Max height of 25 feet from floor to top of banner.

    Due to the volume of crates, limited space for set up, and time needed to install aisle carpet, a CLEAN FLOOR POLICY will be enforced.
    To assist with the overall setup of IAAPA Expo, please review the specific empty removal timelines identified below to help avoid any logistical disruptions to a successful event opening:

    All crates will need to be tagged with the appropriate empty labels based on your targeted move in time shown below. If not a $50 per crate surcharge will apply.

    Exhibitors may continue working within the booth space with Monday, TBD the last day for exhibitors to complete final touch-up on their displays and set their product by TBD.

Important Dates and Deadlines

Please take notice - In the event move-in or move-out is during overtime, all applicable surcharges will apply. Straight Time: Monday through Friday 8:00 AM to 4:30 PM.

All inbound carriers must check into the warehouse by 2:00 PM to be guaranteed same day unloading. Loading docks become busy and cannot always accommodate late afternoon arrivals due to heavy congestion.

No Return to Warehouse at Close of Show Notification:
All exhibit materials will need to be shipped out direct from show site. If you use a carrier other than the official show carrier and they fail to pick up your shipment at showsite, your shipment will be re-routed to the destination on Bill of Lading.

Carriers:
Shipments for booths in both the South and West Buildings must be delivered separately to each facility. After the first delivery, carriers must return to the Marshalling Yard and re-queue for the next delivery.


Exhibit Site Post Show Pickup

Drivers must check in at the marshaling yard according to their assigned target time. Any drivers who arrive directly at the show site will be redirected back to the marshaling yard for proper check-in.
