Notice of Intent to Hire an EAC

Are You Hiring an EAC?

An exhibitor appointed contractor (EAC) is a company other than the general or official service provider on the show that requires access to a booth during installation and dismantling. The EAC may only provide services in the facility that are not designated by the facility as exclusive to a designated provider, or by the show organizer in a contract as an exclusive service for the general or official service provider or other 3rd party. If you are hiring an EAC please submit this form.

No EAC will be allowed to work in an Exhibitor’s booth if this Notice of Intent to Use EAC, a valid Certificate of Insurance and the Agreement and Rules and Regulations between GES and the EAC is not completed by an authorized representative and received by GES 30 days prior to show start. This Notice of Intent to Use EAC must be completed for every third party (as well as any other third party ordering or requesting services from GES on behalf of Exhibitor) at the above show.

Due to the necessity of coordinating all activities during move-in/move-out and for security purposes, Exhibitors who choose to use an EAC must complete this form with all necessary information by July 22, 2016, and both the Exhibitor and EAC will comply with all Rules and Regulations HERE) as well as ASTRO's Exhibitor Appointed Contractor Rules and Regulations and the 2016 ASTRO Exhibitor Rules, Regulations and Policies, both available online at www.astro.org/resourcecenter and incorporated by reference.

Neither GES, ASTRO nor the Boston Convention Center Authority, or any of their officers. employees, agents, or representatives, shall have any liability to any party for damage or injuries caused by Exhibitor, EAC or any of the third party agents of either of them. GES, ASTRO, the Boston Convention Center Authority, or any of their officers. employees, agents, or representatives shall have no liability to any party for damage or injuries caused by exhibitor or its third party agents. It is the exhibitor’s responsibility to provide its EACs with all show rules and regulations as set forth in the exhibitor space lease and the Exhibitor Services Manual. Exhibitor agrees to indemnify and defend GES, ASTRO, the Boston Convention Center Authority, or any of their officers. employees, agents, or representatives for the actions of its agents and exhibitor appointed contractors. The exhibitor agrees that it is ultimately responsible for all services in connection with the exhibit, including freight, rentals and labor. Exhibitor agrees to be responsible for any losses, damages or injuries that are caused by or attributed to EACs that are not covered or provided by EAC’s insurance.
