We are delighted to welcome you to the IMEX America online Exhibitor Manual - GES Expresso. The content of Expresso will guide you in the overall organisation of your exhibit space.
*IMPORTANT* Move in and move out procedures
All freight must be delivered to the GES advanced warehouse to facilitate a smooth move in. Direct shipments to the venue will only be accepted on October 5. We will continue to operate a Targeted move in, details will be posted in the 'Shipping, Drayage and Material Handling' and 'Target Maps' sections of GES Expresso. Booth coordinators are requested to instruct their Exhibit builders to plan their labor accordingly.
Exhibitor Appointed Contractor (EAC)
If you are using an exhibit builder other than the IMEX official general service contractor (GES) to move in and move out and build your booth please make sure you follow the instructions in the 'Access to the Halls' section of Expresso. It is vital that your EAC is registered with IMEX by August 2.
Exhibit Labor Registration
For security purposes it is compulsory that your exhibit builder and their labor wear wrist bands for the move-in and move-out of your exhibit.
The supervisor is asked to collect all wrist bands for their team and labor. No pre-registration for wrist bands is required. Further information is available here.
Exhibit Construction
The main booth constructor (EAC) will need to submit the booth design for approval in the IMEX portal by August 20 (August 13 for double storey). Once the exhibitor has registered their main booth constructor, the booth constructor can sign in or create an IMEX account, and follow the on screen instructions to submit the design.
You require a written application for permission if your exhibition booth is higher than 10' or has a completely or partially closed ceiling or if you are planning a two-storey booth. Please see technical specifications in the 'Regulations and Guidelines' section of Expresso.
Headset Rental
Headsets may be rented exclusively by Show Gear Productions. Please find the order form in the 'Additional Show Services' section of this manual.
Catering
Catering is an exclusive service provided by the Mandalay Bay Exhibitor Services' team. The exception to this rule is that 'sample sized' food and beverage is permitted. However, any food which is distributed in the exhibit space should meet the proper guidelines set forth in the Mandalay Bay Sample Authorization form. Please see the catering information in the 'Additional Show Services' section of Expresso. For further guidance on Food and Beverage regulations please contact the IMEX Operations team (operations@imexevents.com).
Insurance cover
Whilst we take every precaution to protect your property during the event, neither the exhibition organizer, the venue, nor the security contractor can take on responsibility for your property. Standard exhibitor insurance cover will be invoiced with the space rental invoice (if this has been selected by the exhibitor). Otherwise, if the exhibitor has already arranged for their own coverage, please email proof of insurance to IMEX America at billing@imexevents.com.
All EACs must submit proof of their insurance cover to GES; for details please see the Exhibitor Appointed Contractors section of Expresso.
Cleaning
Daily booth cleaning is included as part of your IMEX booth. Please take care to ensure that your EAC is not including this in your proposal.
Sustainable Exhibiting at IMEX America
Our aim is to produce as little waste as possible. Please remember to use environmentally friendly booth fixtures and also please post the remainder of your brochures back to the office rather than throwing them away. For more tips, please review our 'Guide on Exhibiting Sustainably'.
We are part of a group of exhibition organizers piloting the Better Stands 10-point framework. Better Stands' aim is to help the exhibitions industry reduce waste and carbon emissions by replacing single-use booths with reusable booths. And to create safer and healthier build environments.
At IMEX America 2024, all booth constructors are asked to self-assess using a Better Stands questionnaire. On-site assessments will be carried out, and booths will receive a provisional Better Stands result.

Donations
A donation program will be available to collect any reusable exhibitor materials such as floral, vases and office/booth supplies on the final day of IMEX America. These donations will be distributed to a variety of organizations throughout the Las Vegas area. Donation bins will be available around the perimeter of the show floor for exhibitor use.
